Privacy Policy

1

Who we are

This policy explains how Lexden Wood Golf Club ("the club", "we") handles personal information. The club is located at Lexden Wood Golf Club, Bakers Lane, Colchester, Essex CO3 4AU.
For anything relating to this policy or your data, contact info@lexdenwood.co.uk or call 01206 696212.

2

What we collect

We collect the information you give us when you contact or book with the club: your name, contact details (email address, phone number), and the details of your enquiry, booking, membership or event. This can reach us through the enquiry forms on this website, by email, by phone, or by messaging services such as WhatsApp when you choose to message us there.

3

How we use it

We use your information to respond to enquiries, take and manage bookings, administer memberships, arrange events, take payment where applicable, and keep in touch about your booking or enquiry. We do not sell your personal information.

4

Calls, CCTV and messaging

Telephone calls to and from the club may be recorded for quality, training and record-keeping purposes.
CCTV operates on the premises for safety and security, as set out in our Terms and Conditions.
If you message the club on WhatsApp or similar services, your messages are also handled by that service under its own privacy policy.

5

Who we share it with

Your information is stored and processed in the club's booking, communication and customer-management systems, which are provided by trusted third-party service providers acting on our instructions. We do not share your information with anyone else except where required by law.

6

How long we keep it

We keep personal information only for as long as it is needed for the purposes above — for example the duration of your membership or booking relationship and a reasonable period afterwards — or for as long as the law requires.

7

Your rights

Under UK data protection law you have the right to ask for a copy of the personal information we hold about you, to have inaccurate information corrected, and to ask us to delete information we no longer need to keep. To exercise any of these rights, contact info@lexdenwood.co.uk.
If you are unhappy with how we have handled your data, you can complain to the Information Commissioner's Office (ico.org.uk).

8

Requesting deletion of your data

To request deletion of your personal information — including any data associated with contacting the club through Facebook, Instagram or WhatsApp — email info@lexdenwood.co.uk with the subject "Data deletion request" and the name, email address or phone number you contacted us with. We will confirm once the information has been removed, unless we are required by law to retain it.
